1. Scope and Applicability

This Privacy Policy applies to personal information collected through the Online Services. It does not apply to third-party websites, platforms, or services that are not owned or controlled by Exante, even if accessible through links or integrations within the Online Services.

Depending on the context, Exante may act either as a “data controller” (or “business,” under the California Consumer Privacy Act (“CCPA”)) or as a “data processor” (or “service provider”). When we process personal information on behalf of our customers as part of providing the Service, we act as a data processor and process such information solely in accordance with our agreements with those customers.

2. Information We Collect


Information You Provide Directly

We may collect personal information that you voluntarily provide when you register for an account, communicate with us, request information about our services, engage with customer support, or otherwise interact with the Online Services. Such information may include your name, email address, company name, job title, mailing address, telephone number, account credentials, and billing contact information.


Customer Data Processed on Behalf of Customers

In providing AI-powered accounts receivable automation services, customers may upload or transmit information through the Service (“Customer Data”). Customer Data may include personal information relating to customers’ employees, clients, counterparties, or other third parties, such as contact information, invoice details, payment status, transaction history, billing communications, and other financial or business information necessary to administer accounts receivable workflows.

Exante processes Customer Data solely for the purpose of providing and improving the Service and in accordance with applicable agreements with the relevant customer.


Information Collected Automatically

When you access or use the Online Services, we and our service providers may automatically collect certain information, including IP address, browser type, device identifiers, operating system, referring and exit pages, date and time stamps, usage data, and approximate location derived from IP address.

We may use cookies and similar tracking technologies to enhance functionality, maintain session information, analyze usage, improve the Online Services, and support security. You may adjust your browser settings to refuse cookies; however, certain features of the Online Services may not function properly if cookies are disabled.


Information from Third Parties

We may receive information about you from third parties, including service providers, integration partners, and customers who provide your information in connection with their use of the Service. We may combine such information with information collected directly through the Online Services.

The categories of personal information described in this Section reflect the categories of personal information we have collected within the preceding twelve (12) months.

3. Use of Personal Information

We may use personal information to provide, operate, maintain, and improve the Online Services; to generate invoices, payment reminders, reports, and other service outputs; to facilitate integrations with third-party systems and payment processors; to communicate with you regarding your account or service updates; to provide customer support; to authenticate users and maintain security; to detect and prevent fraud or misuse; to comply with legal obligations; and to enforce our agreements.

We may aggregate or de-identify personal information and use such information for lawful business purposes, including analytics, research, product development, and service improvement.

4. Artificial Intelligence and Automated Processing

The Service utilizes machine learning and artificial intelligence technologies to analyze Customer Data and generate service outputs, including invoices, payment reminders, workflow recommendations, and related communications. Such processing may involve automated analysis of personal information.

Unless explicitly agreed in writing with a customer, Exante does not use Customer Data to train generalized artificial intelligence models or foundation models for the benefit of other customers.

5. Payment Processing

Payment transactions in connection with the Service are processed by third-party payment processors. Exante does not process payments directly and is not a bank, money transmitter, or payment processor.

Payment information is subject to the privacy policies and terms of the applicable payment processor. Except as necessary to facilitate payment processing through authorized providers, we do not store full credit card numbers or banking credentials on our systems.

6. Disclosure of Information

We do not sell personal information and have not sold personal information in the preceding twelve (12) months.

We may disclose personal information in the following circumstances:


Service Providers and Subprocessors

We may disclose personal information to third-party service providers and subprocessors who perform services on our behalf, including hosting providers, infrastructure providers, analytics providers, customer support vendors, security providers, and payment processors. These providers are contractually obligated to safeguard personal information and to use it only for authorized purposes consistent with this Privacy Policy.

Customers

Where we process Customer Data on behalf of customers, such information may be disclosed to or accessed by the relevant customer and its authorized users.


Legal Requirements and Protection of Rights

We may disclose personal information where required to do so by law, regulation, subpoena, court order, or other legal process, or where we believe in good faith that disclosure is necessary to protect our rights, enforce our agreements, investigate fraud, or protect the safety of individuals or the public.


Corporate Transactions

In the event of a merger, acquisition, restructuring, reorganization, bankruptcy, or sale of assets, personal information may be transferred as part of the associated transaction, subject to applicable legal requirements.


Consent

We may disclose personal information where you have provided consent or directed us to do so.

7. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, including to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements.

Retention of Customer Data is governed by our agreements with customers and by customer instructions. We may retain aggregated or de-identified information for a longer period consistent with applicable law.

We implement reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These measures include encryption in transit, access controls, and security monitoring consistent with industry standards.

However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

Where Exante acts as a data processor on behalf of a customer, requests relating to Customer Data should be directed to the relevant customer, who is responsible for responding to such requests.

We may require verification of identity prior to responding to requests.

10. California Privacy Rights

If you are a California resident, you may have certain rights under the California Consumer Privacy Act (CCPA), including the right to request information about the categories of personal information we collect, the purposes for which we use it, and the right to request deletion of personal information, subject to applicable exceptions.

We do not sell personal information and have not sold personal information in the preceding twelve (12) months.

11. International Data Transfers

Exante is headquartered in the United States. If you access the Online Services from outside the United States, your personal information may be transferred to and processed in the United States or other jurisdictions where our service providers operate.

12. Children’s Privacy

The Online Services are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law.
